What data moves and how

Celigo's HubSpot and NetSuite connectors handle the authentication and API calls. Entech configures the field mapping, transformation logic, and error handling for your specific setup.

Deal в†’ Sales Order
HubSpot deal name, close date, amount, and line items (from HubSpot Products or a custom property) map to the NetSuite Sales Order header and line-item fields. The HubSpot deal owner maps to the NetSuite Sales Rep field for commission tracking. Deal ID is stored on the NetSuite record for future lookups without email matching.
Contact ↔ Customer sync
Contacts sync bidirectionally — HubSpot contact email is the primary key. On new contact in either system, a match check runs before creating to prevent duplicates. Name, phone, company, billing address, and custom properties map to their NetSuite counterparts. NetSuite Customer ID is stored on the HubSpot contact for reliable reverse lookups.
Invoice status в†’ HubSpot properties
A scheduled Celigo flow polls NetSuite for invoice status changes every 15–30 minutes. When an invoice moves to Paid, the HubSpot deal's custom "Payment Status" property updates from "Invoiced" to "Paid" and the "Payment Date" property is stamped. Overdue invoices (past due date, status Open) trigger a separate property update and optionally enroll the contact in a follow-up sequence.
Company ↔ Subsidiary / Entity
HubSpot Companies map to NetSuite customers or subsidiaries depending on your NetSuite entity model. For multi-subsidiary NetSuite setups, Celigo's flow logic determines the correct subsidiary from a HubSpot company property (region, business unit, or country). This is typically the most company-specific mapping in the integration and where Entech's NetSuite expertise matters most.

HubSpot line items в†’ NetSuite item lookup
NetSuite Sales Orders require a valid item internal ID, not a text description. HubSpot product names rarely match NetSuite item names exactly. The integration needs a lookup step — either by SKU, by a custom cross-reference field, or by a fuzzy name match — before each line item can be written. Entech builds and maintains this lookup table as part of the integration.

Duplicate contact/customer detection
A HubSpot contact may already exist as a NetSuite customer (created before the integration went live) but with a slightly different email or no email at all. The Celigo flow needs match logic beyond exact email — phone number fallback, company + name matching, and a manual review queue for ambiguous cases. Without this, you get duplicate NetSuite customers that are hard to clean up later.

Multi-currency and tax handling
HubSpot deals in multiple currencies need to land in NetSuite with the correct currency, exchange rate, and tax code. NetSuite's tax engine requires a valid tax code per line item for revenue recognition — HubSpot has no equivalent. Entech configures a default tax code per country/region and handles currency conversion using NetSuite's exchange rate table rather than a hardcoded rate.

Historical data migration
Going live with the integration does not automatically populate HubSpot with NetSuite invoice history or NetSuite with historical HubSpot deals. Entech plans a one-time data load using Celigo's batch processing — importing historical records in the right order (customers before orders, orders before invoices) to maintain referential integrity without overwhelming either system's API rate limits.

About scope creep
The most common source of timeline overrun is discovering additional HubSpot custom properties or NetSuite custom fields during UAT that were not in the original mapping document. Entech runs a thorough field audit in Week 1 to surface these early — but we also build the Celigo flows with extensible mapping so adding fields post-launch is straightforward.
